Sample Order Email Template for Chinese Suppliers

Use a focused sample request to confirm what the sample represents, which specifications are included, how much it costs, when it can ship, and what may change before bulk production.

A sample request clarifies communication. It does not verify the supplier or guarantee that future production will match the sample.

Direct Answer

A sample order email should identify the product, sample type, specification, customization, cost, production time, shipping method, and the questions the supplier must answer before payment.

Define what the sample represents

Ask whether it is a stock sample, similar reference, customized sample, or pre-production sample.

Questions to Review in the Reply

If the response still leaves terms unclear, compare it with the Sample Supplier Reply Review Report or request a focused Supplier Reply Review.

  • Did the supplier answer the actual sample type?A generic “sample available” reply does not explain what will be sent.
  • Are specifications confirmed?Separate confirmed details from assumptions and alternatives.
  • Are all fees visible?Check sample, customization, tooling, packaging, and shipping costs.
  • Are production and delivery time separate?Sample preparation happens before carrier delivery.
  • Is the bulk connection clear?Ask what will stay the same and what may change later.

Key Takeaway

The email should help the buyer understand what will be received before paying. A useful supplier reply connects the requested specifications, sample terms, timeline, shipping, and possible bulk-production changes.
