Buyer Guide / Sample Email
Use a focused sample request to confirm what the sample represents, which specifications are included, how much it costs, when it can ship, and what may change before bulk production.
A sample request clarifies communication. It does not verify the supplier or guarantee that future production will match the sample.
A sample order email should identify the product, sample type, specification, customization, cost, production time, shipping method, and the questions the supplier must answer before payment.
Ask whether it is a stock sample, similar reference, customized sample, or pre-production sample.
Adjust the template to the actual product.
Subject: Sample request for [product name]
Hello [supplier name],
We would like to review a sample of [product name] before considering a larger order.
Please confirm:
1. Whether this is a stock, reference, customized, or pre-production sample
2. Material, dimensions, color, finish, function, and packaging included
3. Sample price and shipping cost
4. Any tooling, printing, or customization fee
5. Sample preparation time and expected dispatch date
6. Shipping method and tracking availability
7. What may change before bulk production
8. Whether any sample fee is deductible from a future order
Please also confirm the payment recipient, currency, and invoice details before payment.
Thank you.
If the response still leaves terms unclear, compare it with the Sample Supplier Reply Review Report or request a focused Supplier Reply Review.
The email should help the buyer understand what will be received before paying. A useful supplier reply connects the requested specifications, sample terms, timeline, shipping, and possible bulk-production changes.
Review the questions to confirm before arranging sample payment.
