Supplier Checklist Before Payment.

Use this to organize supplier names, quote scope, sample terms, payment details, and open questions before paying.

This organizes visible information and questions. It does not verify a supplier or prove factory capability, quality, delivery, or payment safety.

1. Business identity

Confirm the company name used in the quotation, invoice, payment instructions, email domain, and business documents.

Ask when names differ

Who owns each company or account, why is it being used, and where is that relationship confirmed in writing?

2. Product and quotation

Record the exact product version, material, dimensions, customization, packaging, labeling, MOQ, unit price, currency, Incoterm, and exclusions.

Ask what is still open and what could change the price or lead time.

3. Samples and production

Clarify whether the sample is stock, similar, custom, or pre-production; what the fee covers; and what may differ in bulk production.

Define which version becomes the written approval reference.

4. Payment and timing

Confirm the beneficiary name, deposit coverage, balance trigger, payment method, lead-time starting point, and written refund or cancellation terms.

Pause when payment instructions change without a clear written explanation.

5. Supplier role and evidence

Ask which processes are in-house, which are outsourced, and what product-specific workshop, equipment, packaging, or production evidence is available.

Evidence can add context, but it cannot prove future quality or delivery.
